Job Introduction

In Europe, we work closely with our customers to deliver custom-made and specialized services across International Organizations, Space, Immigration, and Defence. We provide tailored services for various public sector bodies including European Institutions, the Belgian and German Defence, the European Space Agency, and the European Organization for Nuclear Research (CERN). Our expertise spans IT services, Facility Management, Space Research, and Operations.

We’re looking for an Associate Bid Manager, to reinforce the team in our Brussels office! 

Serco is seeking an Associate Bid Manager to manage bids in Serco with specific focus on bidding and winning work with Public Sector bodies. The role sits within a central Bid Management team, and therefore, there is an expectation to work in a flexible and agile manner across sectors.

 

Main Responsibilities

As an Associate Bid Manager you will be responsible for:

Bidding – Manage bids ensuring compliance with customer requirements

  • With best practice in mind, liaise with the Sales Lead, Commercial Lead and Solution Lead to develop robust bid plan. Manage the ongoing execution of the bid plan, including for example, identifying and managing the critical path activities.
  • Engage with the Business Development Team to ensure smooth implementation of opportunity specific Capture Plans.
  • General management of the customer engagement process including: (i) administration, and where relevant, contribution to dialogue sessions; (ii) ensuring timely and expert response to clarification questions; and (iii) management of Customer Portal inc downloads, uploads and general comms.
  • Main point of contact for day-to-day operation of the bid, including for example, action tracking, helping to chase delinquencies, and supporting the Sales Lead, Commercial Lead and Solution Lead with bespoke activities as required from time to time. Manage and sustain Bid Team capabilities, capacity and welfare throughout the bidding process.
  • Management of bid team meetings, workshops, comms and planning/scheduling of Serco governance sessions and hats (the latter with key input from the Sales Lead, Solution Lead and Commercial Lead).
  • Document management and storage for the bid including customer ITT documents and data room.
  • Proposal management ensuring timely completion and compliance with all customer requirements delivered in a compelling manner. Support Bid Writers with inclusion, where possible, of Serco standard and/or best practice proposal responses. Drive review process for written responses (pink, red, gold reviews).
  • Provide guidance and drive completion of the RADO (Risks, Assumptions, Dependencies and Opportunities) for the bid.
  • Understand and appropriately apply Serco Management System bidding requirements.
  • Support hand over to operations from the Bid Team once bid is won, ensuring that a full and robust understanding of all aspects of the deal is embedded within the Contract Team, maximising probability of successful execution.
  • Ensure a comprehensive lessons learned is carried out at each stage, with specific plans to incorporate learning into future activities.

Team Development - drive high performance across the Bid Management team

  • Lead and contribute to the continuous improvement of the Bid Management team’s capability, through development of process, policy and tools and advocacy of a continuous learning environment.

 

 

Successful Candidate

Essential:

  • Bidding experience either as a within a Bid Team or process in this (or similar) market; showing skills and experience that  translates into positive outcomes for the customer, the company and employees working on bids.
  • Exhibit characteristics of high performance, goal oriented, and creative problem solving.
  • Ability to operate successfully and autonomously in a challenging and changeable role. Exhibits strong resilience under pressure of time constrained deliverables.
  • Trained, or readiness to be trained, in bidding methodologies, and ability to deploy these consistently, considering options to adapt to suite circumstances.
  • Strong written and verbal communication skills – active listening, ability to articulate customer’s environment and bid requirements to all management levels.
  • Must be proficient in Microsoft Excel, PowerPoint, Project, and Word at an intermediate/advanced level. Proficiency and a curiosity in generative AI, PowerBI and CRM systems is desirable.

Experience : 

  • Degree or equivalent gained through experience;
  • Experience in structured methodologies such as Prince2, Shipley, Miller Heiman are not essential but advantageous

Language : 

  • French Level ( B2 ) essential 
  • Dutch is desirable
